Total Tools Gosford is looking for a Part-Time Back Office Accounts / Administration Officer to join the team. This position will suit someone who thrives on a high level of customer service in a retail environment with excellent verbal and written communication skills. With a store-based culture, your skills and experience will be utilised in a fast paced environment with many challenges. A confident and friendly phone manner will complement the existing team who prides themselves on meeting deadlines, constantly being organised and insisting on accuracy.

This exciting role could also include some work from home if required, which may suit someone looking for school-hours flexibility.

Your responsibilities will include:

  • Process, enter and reconcile supplier stock invoices, ensuring accurate matching of purchase orders and timely supplier account reconciliation.
  • Audit stock receipts, investigate and resolve pricing, stock and invoice discrepancies, and manage supplier claims and rebate collections.
  • Maintain the Goods Received Not Yet Invoiced register, working closely with store receiving teams to resolve outstanding issues.
  • Prepare weekly and monthly supplier payments in line with agreed trading terms and respond to supplier account queries.
  • Complete daily cash drawer and bank reconciliations while supporting year-end audit requirements and financial reporting activities.
  • Manage accounts receivable processes including receipt allocation, debt collection, customer account maintenance, credit applications and credit checks.
  • Monitor blocked sales orders, maintain stop supply and unallocated account registers, generate proforma invoices, and resolve customer account queries.

  • Able to manage competing priorities and work effectively in a fast-paced, dynamic and customer-focused environment.
  • Committed to supporting operational teams and contributing to broader business objectives and growth.
  • Strong computer literacy with sound knowledge of Microsoft 365 applications, particularly Excel, Word and Outlook.
  • Previous experience with Pronto is advantageous, but not essential.
